Custom Order Terms
Personalized Coffee products are made to order and subject to the following terms and conditions. The terms we and us (the company) and the term you (the client) are used to specify Sweet Science Coffee as the seller and service provider and the buyer.
Approval Process
We fulfill custom orders after final approval of the design by you.
2 - 10 unit orders: You receive mockup pictures of your design that show all sides of the package. Up to two large scale edits are included.
11 - 100 unit orders: You receive mockup pictures and a 3D video showing all sides of the package. Up to three large scale edits are included.
101+ unit orders: You receive mockup pictures and a 3D video showing all sides of the package. Up to five large scale edits are included.
Definition of large scale edits: Any edit that requires a substantial re-do of the design. We want you to be happy with your custom product and small tweaks are always free.
Final Approval & Responsibility
Once you provide final approval of the design, you confirm that all content, layout, spelling, colors, and placement are correct. We are not responsible for errors or issues in the final product that were present in the approved design.
For orders above 50 units you can request a product sample with your design at the cost of the product plus shipping. The cost is credited to your final invoice after receipt of the full order.
Payment Terms
2 - 10 units: Payment is required upfront via credit card or bank transfer.
11 - 100 units: We require a non-refundable deposit in the amount of our product cost before production. The remaining balance is due before shipment of the order.
101+ units: We require a non-refundable deposit of 50% of the total order price. The remaining balance is due before shipment unless otherwise agreed upon.
Before work commences, you will receive a pro forma invoice outlining the project and all costs for approval and signature.
Returns, Cancellations and Changes
Custom and freshly roasted products are not resalable and can’t be restocked. Therefore we are unable to accept returns or cancellations once an order is produced.
Client-initiated cancellations
In the event that you have to cancel an order before it has been fully produced and has not yet shipped, we will issue a refund of your deposit in the amount that is left after deducting our product and/or production cost up to that point.
Changes to an order after design approval are possible if the production of the package has not yet started.

Defects or print errors
We follow strict quality protocols and check every order before it leaves our facility. In the unlikely event that an order shows major print related flaws or errors we are committed to make it right. Please contact us with pictures and/or video showing the product so we can assess and quickly address the issue.
Note:
- Print colors always differ slightly from digital colors you see on your screen. This is normal. Bright colors like yellow or metallics like gold will appear slightly more muted than they appear in a mockup, but never like a completely different shade.
- Our recyclable boxes have a semi-gloss finish which adds a soft elevated touch and makes some colors like electric blues pop more. For reference, view the work examples on our website which show all stages of the process, from original artwork, to mockup and finished product with different styles and color palates. If you are unsure about your color scheme, our designers will happily recommend options that work great.
- Our boxes are printed flat and then folded and glued before the sealed coffee package is inserted. It is possible that the end glue point on the back of the box is visible as a tiny gap. This is due to production and not a defect.
Our total liability for any claim related to a custom order is limited to the amount paid for that order. We are not responsible for indirect, incidental, or consequential damages, including loss of profits, missed events, or third-party costs.
Shipping cost and timelines
The buyer is responsible for shipping costs. We offer affordable flat rate shipping within the US on all custom orders. The exact cost is determined by order volume and by whether all units are shipped to one address or to multiple. We will calculate the best rates based on your information and provide a breakdown of all costs in a pro forma invoice upfront for your approval.
Production and delivery timelines are estimates.
We are not liable for delays caused by third parties or events beyond our control.
Copyright and portfolio use
By ordering custom coffee from us you confirm that you hold the rights to all of the content you provide to us for the design of your packaging. You agree to indemnify and hold us harmless from any claims, damages, liabilities, or legal costs arising from the content you provide for your custom packaging, including claims related to copyright, trademark, or rights of use.
We reserve the right to show designs we create as work examples on our website and / or social media pages. We will always ask for your permission and blur any personal messages or names if desired.
We will not use any custom design we create for our other projects or future products. We store your design files for up to two years for easy reorders, but you may request deletion of the files and the content you provided at any time after your shipment has arrived.
Excluded content
We are not accepting the following content:
Profanity/offensive language, sexually explicit content, discriminatory violent imagery and/or language, pictures, signatures, or caricatures of celebrities, actors, VIP’s or musicians, trademarks and large brand logos (i.e. Coke, Nike etc.).
If you belong to a political or religious group and want to order custom coffee for an event within your organization, please contact us to discuss.
Product quality
We roast coffee fresh to order as close to your event as possible. Coffee is a naturally aging product and best when consumed within three weeks after opening the package. If stored in the sealed, original package, away from heat and moisture, the shelf life is four months as indicated on the sticker on the package.
We assume no responsibility for spoiled products due to improper storage conditions or times. Whole beans in their sealed bags can be taken out of the box, wrapped in extra cling wrap and stored in the freezer (not the refrigerator) for up to six months. If you order pre-ground coffee we don’t recommend freezing it as it will not prolong the shelf life.
Governing Law
These Custom Coffee Terms and Conditions are governed by and interpreted in accordance with the laws of the State of Texas without regard to its conflict of law principles.
